Now Hiring an Office Clerk

Springfield, MA

Schedule: Monday through Friday, 6:00 a.m. to 3:00 p.m. Hours may vary based on operational needs.
Pay: $27.50 per hour

At First Student, our Office Clerks help keep the location organized and its daily transportation service running smoothly. This position supports employees, location leadership, drivers, and the dispatch team through accurate recordkeeping, payroll support, scheduling, communication, and general administrative work.

What You'll Do

  • Provide daily administrative support to the dispatch team
  • Help answer phones, respond to routine questions, and direct calls appropriately
  • Assist with communicating route updates, delays, and scheduling changes
  • Help maintain driver attendance, route coverage, and sign-in information
  • Prepare and organize route sheets, dispatch documents, and other operational records
  • Support dispatchers during busy morning and afternoon service periods
  • Help ensure contractual, company, and legal requirements are met
  • Maintain accurate employee, operational, and location files
  • Prepare reports, schedules, correspondence, and other documents
  • Prepare meeting agendas and coordinate appointments
  • Review and submit payroll information accurately and on time
  • Assist employees and drivers with administrative questions
  • Enter and update information in company systems
  • Communicate professionally with employees, drivers, customers, and internal departments
  • Complete additional administrative and operational assignments as needed

What You'll Bring

  • High school diploma or equivalent
  • Two years of administrative, office, dispatch support, or related experience preferred
  • Experience with Microsoft Office products, including Outlook, Word, and Excel
  • Basic computer, data-entry, and 10-key skills preferred
  • Excellent verbal and written communication skills
  • Strong attention to detail and recordkeeping abilities
  • Excellent organization and time-management skills
  • Ability to manage multiple priorities and meet deadlines
  • Ability to remain calm and professional during busy operational periods
  • Comfort working with phones and supporting frequent communication
  • Dependable attendance and punctuality
  • Self-motivated approach with the ability to work independently
  • Professional and helpful customer-service skills
