DMO Coordinator / Office Clerk Responsibilities:

Maintain employee, contract, and operational records
Ensure required documentation is complete and accurate
Enter and update information in company systems
Prepare reports, schedules, correspondence, and other documents
Support payroll and personnel record administration
Answer phones and direct calls appropriately
Schedule meetings and appointments for management
Assist with email, mail, filing, scanning, and general office duties

Key Responsibilities

Monitor driver pre-trip and post-trip inspections and address equipment concerns such as lights, clips, strobes, brakes, and other safety-related items.
Perform driver road checks, including observations of bus stop timing, safe driving practices, speed, railroad crossings, and overall route performance.
Observe drivers for work readiness, including uniform, safety vest, appearance, and adherence to company expectations.
Conduct IPP Safety contacts with drivers and correct safety violations in the field.
Investigate incidents and accidents by gathering facts, documenting the scene, taking photos, and completing required reports.
Attend client conferences, parent meetings, and bus coordinator meetings related to driver performance or service concerns.
Help maintain calm, fact-based discussions with customers, drivers, and client representatives while recommending corrective action to management.
Complete compliance-related activities, including motor vehicle records, background checks, non-compliance lists, route signs, GAP applications, accident reports, and safety data entry into DMO or other systems.
Supervise daily loading and unloading at schools.
Coordinate transportation support for special events, including driver parking, parent parking, loading, and unloading.
Monitor on-time performance and follow up on service issues as needed.
Dispatch as needed to support daily operations.
Assist management with driver interviews and other operational needs.

Qualifications

High school diploma or equivalent required.
1-2 years of supervisory experience with hourly employees preferred.
Computer skills, including working knowledge of Microsoft Word, Excel, and PowerPoint.
Familiarity with basic vehicle mechanical processes and maintenance preferred.
Ability to prioritize tasks and manage time effectively in a fast-paced environment.
Strong verbal, written, and interpersonal communication skills.
Ability to interact professionally with drivers, employees, customers, senior management, client representatives, union officials, and the general public.
Ability to communicate clearly in English.
Ability to work extended hours, including weekends, as needed.
Regular and consistent attendance and punctuality required.
Must have a working vehicle or reliable transportation to travel within the service area as needed.

Physical Requirements and Working Conditions

The Field Supervisor must be able to move throughout the office, bus yard, parking areas, schools, and other company or client locations. This role requires the ability to use standard office equipment, access filing systems and cabinets, and communicate effectively in person, by phone, and in writing.

Conduct safety contacts with drivers and correct safety violations as needed
Investigate incidents and accidents, including gathering facts and taking photos
Attend client or parent meetings related to driver performance and recommend corrective actions
Complete compliance activities, including MVRs, background checks, reports, route signs, GAP applications, and system updates
Supervise daily loading and unloading at schools
Support special events, including parking and loading/unloading coordination
Dispatch as needed and monitor on-time performance
Assist management with driver interviews
Complete additional duties as assigned

Qualifications

High school diploma or equivalent
1-2 years of supervisory experience with hourly employees preferred
Computer skills, including working knowledge of Word, Excel, and PowerPoint
Basic knowledge of vehicle mechanical processes and maintenance
Ability to prioritize tasks and manage time effectively
Strong verbal, written, and interpersonal communication skills
Ability to work with drivers, customers, senior leaders, client representatives, union officials, and the general public
Fluent in English
Ability to work extended hours, including weekends, as needed
Regular and consistent attendance and punctuality
Must have a working vehicle to travel within the service area as needed

Physical Requirements

Must be able to move throughout an office, company facility, and bus parking areas
Must be able to use standard office equipment and access filing systems
Must be able to communicate effectively in person and by phone
Must be able to drive a company or personal vehicle for driver observations, school district meetings, and other company business
Must be able to use full hearing, speech, and vision
Must be able to stoop, crouch, squat, kneel, bend, and stand while performing inspections or platform training
Must be able to work in wet, cold, or hot environmental conditions
Must be able to write clear and legible reports

Key Responsibilities

Monitor driver pre-trip and post-trip inspections and report equipment issues
Conduct driver road checks, including on-time performance, safe driving, bus stops, speeding, and railroad crossings
Observe drivers for work readiness, including uniform, safety vest, and appearance standards
