Parts Clerk / Parts Room Coordinator

About the Role
The Parts Clerk / Parts Room Coordinator is responsible for the receipt, verification, labeling, storage, documentation, and security of all parts and supplies in the Parts Room. This role supports the maintenance team by ensuring parts are available, organized, properly tracked, and accurately recorded.
This position plays an important role in keeping shop operations running efficiently and helping reduce vehicle downtime.
Key Responsibilities
- Receive, verify, label, and stock incoming parts and supplies
- Maintain accurate parts inventory records and documentation
- Conduct price and quality surveys to support purchasing decisions
- Provide counter service to maintenance and operations team members
- Order special, non-stock parts for repair orders as needed
- Monitor reorder levels and replenish stock appropriately
- Manage cores, warranty parts, and parts returns
- Enter required information into computer systems accurately and timely
- Operate repair order and parts recordkeeping systems in accordance with corporate and customer requirements
- Record sales, repair orders, and parts transactions using proper procedures
- Ensure repair order information is accurate and complete
- Maintain files and other related records
- Provide reports as needed
- Maintain phone communications with vendors, internal teams, and shop personnel
- Clean and organize shelves, bins, racks, and the overall parts facility
- Maintain a clean, orderly, and secure parts room
What Success Looks Like
- Parts are received, labeled, stored, and tracked accurately
- Inventory levels are maintained to support maintenance needs
- Repair orders and parts records are complete and reliable
- The parts room remains clean, organized, and secure
- Special-order parts, returns, and cores are managed efficiently
- Maintenance teams receive timely support with minimal delays
Qualifications
- High school diploma or equivalent required
- 1-3 years of parts room, inventory, warehouse, or maintenance support experience strongly preferred
- Strong attention to detail and accuracy
- Computer literacy and ability to enter and maintain accurate data
- Excellent communication skills
- Ability to build strong working relationships with supervisors, peers, vendors, and internal customers
- Ability to stay organized in a fast-paced maintenance environment
Physical Requirements and Working Conditions
- Ability to stand, walk, bend, reach, and move throughout the parts room and maintenance facility
- Ability to lift, carry, and move parts and supplies as needed
- Comfortable working in a shop, warehouse, or maintenance environment
- Must be able to maintain a clean, safe, and organized work area
